How to get there

Fleet tab → click a vehicle row → vehicle detail sheet → Assign Driver

The vehicle detail sheet opens as a side panel. Near the top, or in the drivers section, you will see an Assign Driver button. Click it and the assignment form appears.

The vehicle is already selected and locked. You are adding a driver to this specific vehicle, so you will not see a vehicle picker.

Step by step

Pick a driver

The employee picker lets you search by name. Start typing and matching drivers appear. Select the one you want.
Review the compliance check

If the vehicle has a compliance policy and the driver is missing a required credential, an amber banner appears at the top of the form. You can still go ahead with the assignment, but the Compliance tab will flag the gap until it is resolved.
Confirm the home address

The driver's home address fills in automatically from their profile. If this driver starts their day somewhere else for this vehicle, you can edit the address here. Changes you make save back to the driver's profile.
Set the weekly schedule

The day-by-day schedule editor appears pre-filled from the driver's default availability. Toggle days on or off and adjust start and end times as needed. These changes apply only to this assignment. The driver's default availability stays the same.
Assign

Click Assign Driver to create the roster entry. The driver appears under this vehicle in the fleet table immediately.

Assign Driver

Compliance warning banner shown when a driver is missing a credential the vehicle's policy requires. The assignment is not blocked. Mock data.

The amber banner is informational. It tells you what is missing so you can follow up (get the driver certified, upload the document) without holding up the assignment. The Compliance tab on the Fleet Management page tracks all outstanding gaps.

Good to know

If compliance is not enabled for your account, you will never see this banner. It only appears when the vehicle has an active compliance policy with credential requirements.

The home address

The home address determines where the vehicle starts its day for route calculations. It auto-fills from the driver's profile. If you edit it here, the change saves back to the driver's record, so keep that in mind.

Tip

If a driver parks the vehicle at a depot that is different from their home, update the address to the depot. Route calculations will start from the right place.

The weekly schedule

The schedule editor works the same way as in the New Roster Entry wizard. Seven day toggles, with start and end times for active days.

The key difference: the schedule pre-fills from the driver's default availability, but any changes you make here apply only to this roster entry. The driver's default stays untouched. That means the same driver can have different schedules on different vehicles.

Watch out

If two roster entries for the same driver have overlapping time windows on the same day, both will exist in the system. The scheduling engine handles this, but it can lead to confusing results. Make sure shifts do not overlap unless you intend them to.

After the assignment

Once you click Assign Driver, the new roster entry is live. You will see the driver listed under this vehicle in the Fleet table, with their schedule summary showing the days and times you set.

To change the schedule later, open the vehicle detail sheet and click the driver's name. To remove the assignment entirely, use the remove option in the driver's row on the detail sheet.
